Preparing Your Environment for Live Communications Server 2005 with Service Pack 1 When deploying Live Communications Server 2005 SP1 within an enterprise environment, several network settings need to be modified to enable the properties that LCS requires for installation and connectivity. This chapter describes how Live Communications Server leverages network resources within Microsoft Active Directory; Group Policy Object (GPO) settings; Domain Name Service (DNS); and a digital certificate infrastructure in preparation of a deployment to ensure stable connectivity. During the preparations, a new container, RTC Service, is added to the SystemMicrosoft container within Active Directory. The LCS 2005 administration tools provide additional features that enable the system administrator or user administrator to manage the LCS servers within their forest and domains, leverage the Active Directory Users & Computers console to see the Live Communications tab, and manage LCS users in Active Directory. Better Together Scenario This section illustrates how real-time collaboration is realized within Microsoft Word, PowerPoint, SharePoint Portal Server 2003, and integration with Microsoft Exchange Server 2003. The purpose of this imaginary scenario is to give you an understanding of how to use UC products as a part of your daily routine to build an understanding of true collaboration. This scenario demonstrates how a marketing manager named Davis will work with his product management team to market a new solution to his customers. To start, Davis needs to build marketing collateral so he decides to build a presentation that he will use in a meeting session where he will show his customers the new features of his company s product. Davis opens Microsoft Office PowerPoint 2003 and builds slides that include a marketing message and product specifications. Unfortunately, Davis does not know all of the important technical specifications that he needs to complete his presentation. He opens Microsoft Office Communicator 2005 to find his product marketing manager, Paige. Because Paige is in Davis contact list and her status is set to online, Davis sends an instant message to Paige requesting the information he needs to build his presentation. Paige responds that her colleague, Bailey, developed a specification document, which is available for review on the company s intranet portal. Paige sends Davis the link to the SharePoint Portal website where the document is stored. Davis visits the site and finds the document within the site s document library. This entire process takes only three minutes. Davis opens the document from within the portal, where he is able to view it. Unfortunately, the document is extremely long and he only needs a bit of information. Luckily, Davis is using Microsoft Office Word 2003, which has the Office 2003 shared workspace. Within the Members tab of the shared workspace to the right of the document is a list of site members, which includes Bailey. This is great, because Bailey is not in Davis contact list, so he doesn t have to spend time finding her contact details to communicate with her. Davis notices that Bailey is online so he sends her an instant message from within the shared workspace. Bailey responds immediately and Davis messages that he needs her assistance navigating the document to find the information he needs. Bailey opens the document sharing feature and shows Davis where to find the information. Davis thanks Bailey, closes the session, and then copies the information out of the Word document and pastes it into the PowerPoint presentation he is developing. He closes the Word document and then finishes his presentation. Now, using the PowerPoint presentation he created, Davis is ready to schedule an online meeting to present to his customers the new product that his company is releasing. He opens Microsoft Outlook 2003 and uses the Live Meeting 2005 toolbar to set up a Live Meeting session. Automatically, the meeting details are created, and all Davis has to do now is add his customers e-mail addresses to the attendee list. Davis sends out the Live Meeting request to his customers, which is one hour from the current time. Davis puts his game face on, gears up for the presentation, and then logs into Live Meeting to attend the meeting. He decides to use Communicator as his phone for the call and dials into the Live Meeting session. Once in the meeting, Davis customers show up one after another to the meeting. He begins the meeting by introducing himself and the agenda. During this time, one of his customers sends him an instant message using his AOL IM application. Even though the customer is not a Communicator user, Davis can communicate with him because he is federated through Public Instant Messaging Connectivity (PIC). The message informs Davis that he needs to be prepared to answer detailed technical questions regarding the product. Alarmed, Davis realizes that he needs to bring in Paige or Bailey to assist. He quickly adds Paige and Bailey to his Communicator session and asks them both if they can join the conference. Luckily, Paige and Bailey are both available. From within Communicator, Davis clicks on the Live Meeting invite feature and the meeting details are sent to Paige and Bailey automatically. This short exchange saved both time and grief. Within Microsoft Office SharePoint Portal Server 2003, portal users have direct access to user presence and Instant Messaging functionality tied to a user s name, as with Microsoft Outlook. SharePoint provides access to information in an organized, easily retrievable way, and information is generally tied to subject matter experts or individual content contributors. Communicator supplies presence to your contacts to enable easy access to an individual involved in a given scenario so you can ask questions pertaining to the material. You an also add an individual expert to your Communicator contacts list. Additionally, SharePoint Portal Server 2003 and Windows SharePoint Services make use of the Office shared workspace feature for documents you open from a SharePoint site. The Microsoft Office 2003 Shared Workspace tab is opened automatically if enabled, showing team members, tasks, and other features relating to the site in which the document is located. Communicator presence is also supplied within the shared workspace to provide an information worker with access to an entire team or only an individual user within the site. Other powerful benefits of UC integration within PowerPoint include training and marketing. With UC integration, you can schedule a Live Meeting session to train thousands of attendees without leaving your home office. For instance, I have worked with enterprise energy trading firms that have deployed LCS, and their commodity traders noticed immediate value because they spend most of their time working within Excel to review pricing and other tasks. Notice the options you have for contacting the owner of the document via phone, Instant Messaging, text messaging on a mobile device, or e-mail. If your work would progress more quickly within a meeting, you have the capability right within Word 2003 to start a Live Meeting session. The capability to share the document in a meeting enables you to make edits while you are discussing them with the other meeting attendees, bypassing the need to circulate the document later and wait for it to come back before making your changes and verifying them. Microsoft Office Excel 2003 Whether you are creating a budget analysis, running statistical analysis, or simply reviewing spreadsheets, the integrated features provided within Microsoft Office Excel 2003 will save you an incredible amount of time by enabling direct access to your contacts. This integration offers many of the same features offered in Word, such as the capability to schedule meetings, Instant Messaging, and e-mail. When creating contracts, I usually need the assistance of my business partner and co-founder of my company to ensure that each contract is within our guidelines. Before Communicator and LCS, I had to find my partner s phone number or send him an e-mail to contact him regarding the document. Now, using Communicator and LCS, I can contact my partner directly within Microsoft Office Word 2003. With direct LCS integration, I can type the name of my partner within the document and have his name light up with the Communicator presence icon and menu or I can leverage the new Office shared workspace, available in Office 2003. With the shared workspace, I can contact anyone who is associated with this document if it is published within a SharePoint website. The great thing about using this feature is that I don t lose my train of thought or my place in the document while trying to contact a colleague. I can directly communicate with them whenever I am stuck on an issue or need assistance with it. If you right-click the person s name, you get options to call them, can see their calendar schedule, and can even send them an instant message. Having presence in your Outlook mail makes your mail that much more efficient, because sometimes it is extremely difficult to wait for responses to important questions while trading messages back and forth. The capability to see an e-mail message and immediately ask questions about it without having to wait for a response represents a big step toward making your office run more efficiently; and if you are as impatient as I am, it saves you the time of clicking the Send/Receive button repeatedly, waiting for a response. Given that most individuals spend a larger portion of their time in Outlook than in any other application, Outlook 2003 integration is feature rich and extremely powerful.
